Get ready for the sale: vets and clinics

Everything a clinic sets up in ThoroughVet before it X-rays the first lot, from your account to sending the report.

Create your account and your clinic
- On the portal, choose Create an account and enter the code we send by email or SMS.
- Choose Set up your clinic, or Request to join if your clinic already uses ThoroughVet.
- Use Find your address to fill in the clinic's address.
- Add your colleagues at Invite your team, or choose Skip for now and do it later in Settings › Team.
Open the portal
Set up your reports and image order
- In Settings › Clinic details, add your logo and header image under Report branding. They head every report.
- Work through the Finish setting up card on Activity, or Settings › Report settings, for each report type.
- In Settings › X-ray image orders, choose New image order and set the order you read X-rays in.
- Mark the one you use most as your Default order. It opens first in the viewer.
Choose how alerts reach you
- Check your email and mobile number in Settings › Profile.
- In Settings › Notifications, choose email, SMS or push for each alert, including approvals and denials.
- Add any other clinic address or mobile number that should get your alerts too.
- For desktop notifications, install the ThoroughVet desktop app for Windows or Mac.
Get the apps
Connect your X-ray machine
- As a clinic admin, open Settings › Clinic details and choose Add gateway.
- Name the PC it runs on, then copy the token. It is shown only once.
- Choose Download for Windows on that PC and paste the token into the installer.
- Enter the Host, Port and Called AE Title on your X-ray machine's DICOM send screen.
About the X-ray Gateway
Request access to the sale
- In Sales, search for the sale and choose Request access.
- Tick View repository, Submit studies or both, then choose Send request.
- When the sales company approves, read the Terms of access and choose Agree and continue.
- Open a lot's submission to see the Sale requirements: the X-ray views the sale's image protocol asks for.
Open the portal
Upload and submit each lot
- Choose Upload, pick Sale lot, then Choose a sale and Choose a lot.
- Add files or a whole folder of DICOM, video or documents, and follow progress on Uploads.
- On the study, check the ThoroughVet AI suggestions for each X-ray. Accept them or choose Not this.
- On the lot's submission, tick the checks and choose Submit for review.
- If a lot is denied, upload replacement files and submit it again.
In sale week: view, shortlist and report
- Where the sale asks for it, enter the client under Viewing for and choose Confirm before opening a lot.
- Build a shortlist for each client with New shortlist, and tick the reports they want on each horse.
- Write the report, then choose Send from the Report saved screen.
- Each recipient gets their own link, which you can withdraw at any time.
